The Office of the Insurance Commissioner is seeking an experienced Administrative Assistant 4 to serve as the principal assistant to the Deputy Commissioner of the Company Supervision Division. This is more than a traditional administrative support role. We are looking for someone who is curious, resourceful, and motivated to learn about the insurance industry and the important regulatory work that protects consumers and promotes a healthy insurance marketplace. The ideal candidate takes initiative, seeks out answers, anticipates needs, and exercises sound independent judgment while managing a wide range of priorities. As the Deputy Commissioner’s primary administrative partner, you will play a critical role in supporting division leadership and advancing the work of a division responsible for monitoring the financial condition and market activities of insurance companies and other regulated entities operating in Washington. You will coordinate complex projects, manage competing priorities, and serve as a key liaison among executive leadership, division staff, agency partners, and external stakeholders. Success in this role requires someone who is comfortable navigating ambiguity, learning new systems and technologies, and identifying opportunities to improve processes and operations. You will be trusted to work independently, analyze information, solve problems, and make informed decisions while maintaining the highest standards of professionalism, discretion, and customer service. This position also provides supervision and mentorship to administrative staff, leads business process and systems initiatives, and serves as a subject matter expert on operational practices that support the division’s critical regulatory work. The duties of the position include but are not limited to:

  • Serve as the principal assistant and trusted advisor to the Deputy Commissioner of the Company Supervision Division, managing complex administrative operations and acting with delegated authority on administrative matters.
  • Coordinate executive priorities, calendars, meetings, communications, and special projects to support the division's strategic goals and regulatory responsibilities.
  • Research, analyze, and interpret information, policies, laws, and regulations to support executive decision-making and ensure compliance with agency requirements.
  • Prepare, review, and coordinate reports, correspondence, presentations, performance measures, fiscal documents, and other business-critical materials.
  • Serve as a key liaison between executive leadership, agency staff, external stakeholders, and partner organizations, fostering effective communication and collaboration.
  • Lead and coordinate division administrative functions, including records management, public records responses, travel coordination, budget support, and continuity planning activities.
  • Supervise and mentor administrative staff, including assigning work, managing performance, supporting professional development, and ensuring quality customer service and operational excellence.
  • Provide oversight of division administrative processes and records systems to ensure accuracy, efficiency, accountability, and compliance with applicable laws, regulations, and agency policies.
  • Serve as the division's subject matter expert and business lead for key operational systems and processes, partnering with information technology and business teams to support system enhancements and process improvements.
  • Lead or participate in agency-wide projects, initiatives, and change-management efforts that impact Company Supervision business operations and regulatory programs.
  • Identify opportunities to improve business processes, operational effectiveness, and customer service while supporting the division's mission of protecting consumers and maintaining a healthy insurance marketplace.
  • Provide executive-level administrative and operational support on high-priority assignments and other duties as assigned.

  • High school Diploma or Equivalent

AND

  • Four years* of progressively responsible clerical, office or administrative experience working within a project, program, or operational environment. Administrative support experience includes performing duties that extend beyond basic office or clerical tasks. Such responsibilities include interpreting laws, rules, and regulations; collecting and analyzing administrative data; coordinating and scheduling meetings with multiple attendees; and evaluating various projects, processes, and operations to ensure effectiveness and compliance.
  • OR One year as an Administrative Assistant 3
  • OR two years as an Administrative Assistant 2

AND

  • One (1) year of experience in a lead, supervisory, mentoring, or training capacity, including assigning, checking, or supporting the work of others.
  • Intermediate skill level in the Microsoft suite of products (Outlook, Word, Excel, and Powerpoint).
  • Basic skills with Adobe Acrobat DC.
  • Ability to accurately type at least 40 words per minute.
  • A degree in public administration, business administration or related field from an accredited institution whose accreditation is recognized by the U.S. Department of Education or the Council of Higher Education Accreditation, or a foreign equivalent may be substituted for relevant experience. Proof of degree may be required prior to employment. If a degree was awarded outside of the United States, candidates must provide a credential evaluation report.

  • Prior supervisory experience of support staff
  • Experience researching and applying complex rules and regulations to ensure that processes and procedures are in compliance with RCW, WACs and policies or other state equivalents.
  • A bachelor’s degree in public administration, business administration or closely allied field.
  • Two years’ experience supporting an executive within a professional office environment.
  • Experience working in web programs such as Drupal
  • Experience working in NAIC tools, such as I-Site, Snowflake and ThoughtSpot.
  • Experience working in WA state systems including ORCA and SIMBA
