Why This Role Matters

The arenaflex Customer Service Associate is a cornerstone of our Digital Team, reporting directly to the VP of E‑commerce and Paid Media. In this newly created position, you will become the in‑house expert on all things related to arenaflex’s marketplace operations, working closely with our third‑party logistics (3PL) partner, our external arenaflex agency, and senior leadership. Your expertise will directly influence the efficiency, accuracy, and profitability of arenaflex’s marketplace business, ensuring that customers receive their orders on time, in full, and with the premium experience they expect from a clean‑beauty brand.

Key Responsibilities

  • End‑to‑End PO Management: Oversee purchase orders (POs) within arenaflex Vendor Central and our warehouse management system (WMS) from receipt through labeling, pickup appointment scheduling, and post‑shipment tracking.
  • Inventory Coordination: Ensure the 3PL is stocked with sufficient inventory to meet arenaflex’s forecasted demand, collaborating with the Operations team to transfer stock as needed and guarantee on‑time, in‑full fulfillment of arenaflex POs.
  • Weekly Reporting & Analytics: Produce detailed weekly reports on arenaflex PO status, highlighting shipped revenue, outstanding pickup revenue, missed pickups, upcoming appointments, and any shorted or cancelled orders. Communicate insights to internal stakeholders and the 3PL to drive proactive decision‑making.
  • Process Documentation: Contribute to the development and refinement of Standard Operating Procedures (SOPs) for PO processing, inventory management at the 3PL, and reporting mechanisms, ensuring consistency and scalability as the business grows.
  • Cross‑Functional Collaboration: Partner with the Digital Marketing, Product, and Finance teams to align inventory levels with promotional calendars, new product launches, and seasonal demand spikes.
  • Continuous Improvement: Identify bottlenecks, propose automation opportunities, and implement best‑in‑class operational practices that streamline workflows and reduce manual effort.

Essential Qualifications

  • 2–3 years of hands‑on experience managing arenaflex Vendor Central (or equivalent marketplace) and a third‑party WMS, handling POs from receipt/confirmation to Advanced Shipping Notices (ASNs).
  • Minimum 3 years of direct interaction with 3PL fulfillment teams, demonstrating the ability to coordinate inventory movements and resolve logistical challenges.
  • 2–3 years of proven experience reporting on order and fulfillment KPIs, with a track record of ensuring on‑time, in‑full shipments.
  • Demonstrated ability to develop and adhere to SOPs, creating scalable processes where none previously existed.
  • Strong understanding of inventory lead‑time management and forecasting, using data to pre‑empt stock‑out risks and maintain optimal inventory levels.
  • Self‑starter mindset with a proactive approach to identifying and implementing operational improvements.
  • Exceptional organizational skills, capable of juggling multiple data streams and presenting complex information in a clear, actionable format.
  • Detail‑oriented nature, thriving on seeing tasks through from inception to completion.

Preferred Qualifications

  • Experience with arenaflex Vendor Central order processing via arenaflex (formerly SPS Commerce) and an integrated ERP system.
  • Background in e‑commerce performance marketing, providing insight into how fulfillment metrics impact advertising ROI.
  • Familiarity with clean‑beauty or consumer‑goods industries, offering contextual knowledge of product lifecycles and regulatory considerations.
  • Advanced Excel or data‑visualization skills (e.g., Power BI, Tableau) to build dashboards that surface real‑time operational health.
