Key Responsibilities

  • Perform high‑volume data entry with an emphasis on accuracy, confidentiality, and timeliness.
  • Draft, edit, and route routine and non‑routine correspondence on behalf of senior executives.
  • Coordinate travel itineraries, accommodation bookings, and expense reporting for executive travel.
  • Serve as the primary point of contact between the executive office and external stakeholders, including state agencies, federal partners, and community organizations.
  • Attend legislative sessions, public meetings, and stakeholder events to capture relevant information and relay insights to the executive team.
  • Maintain and order office supplies, ensuring that remote and on‑site workspaces remain fully equipped.
  • Supervise, train, and evaluate assigned clerical staff, providing constructive feedback and recommending personnel actions when appropriate.
  • Prepare briefing materials, speech outlines, and agenda packets for staff meetings and public appearances.
  • Take accurate minutes during meetings, distribute action items, and follow up on deliverables.
  • Support the executive office with ad‑hoc projects, research, and special initiatives as directed.

Essential Qualifications

  • Bachelor’s degree from an accredited college or university, or equivalent professional experience (up to four years of experience may substitute for education).
  • Minimum of one year proven experience in data entry, demonstrating speed and precision.
  • At least one year of customer‑service experience, showcasing strong interpersonal and problem‑solving abilities.
  • Excellent written and verbal communication skills, with the ability to compose clear, concise, and professional correspondence.
  • Demonstrated ability to manage multiple priorities, meet deadlines, and maintain composure in fast‑paced environments.
  • Proficiency with standard office equipment, including multi‑function printers, scanners, and video‑conference tools.
