Key Responsibilities

As a Remote Data Entry Clerk – Typing & Administrative Support Specialist at arenaflex, you will play a critical role in ensuring the smooth and accurate processing of financial and administrative documentation for the Construction Department. Your day-to-day responsibilities will include, but are not limited to, the following:

  • Invoice Processing: Accurately process all incoming invoices through the INFOR enterprise system, ensuring timely entry, proper coding, and complete documentation in accordance with company protocols.
  • GL Coding Verification: Review and verify General Ledger coding on every invoice to ensure accuracy, compliance, and proper financial categorization. Identify discrepancies and escalate concerns to the appropriate supervisor.
  • Purchase Order Management: Create, review, and route Purchase Orders as needed, ensuring all required approvals are obtained and documentation is archived properly.
  • Invoice Receipt and Distribution: Receive, date-stamp, and distribute incoming invoices to the appropriate approvers and stakeholders in a timely manner to maintain workflow continuity.
  • Filing and Records Management: Maintain both electronic and paper filing systems for processed invoices, ensuring records are organized, easily retrievable, and stored in compliance with company retention policies.
  • Administrative Support: Provide flexible administrative assistance to the Office Manager and other departmental leaders as needed, including drafting correspondence, preparing reports, and coordinating schedules.
  • Data Integrity and Quality Control: Conduct routine audits of entered data to identify and correct errors, contributing to the overall accuracy and reliability of departmental records.
  • Communication and Coordination: Communicate professionally with vendors, internal departments, and team members to resolve invoice-related questions, request missing information, and ensure smooth processing cycles.
  • Confidentiality and Compliance: Handle sensitive financial and personnel information with the utmost discretion, adhering to all company policies and applicable data protection regulations.

Essential Qualifications

To succeed in this role, candidates must possess the following foundational qualifications:

  • Proven Data Entry Experience: Demonstrated experience in data entry, administrative support, or a related clerical role. Candidates must be comfortable working with high volumes of information and maintaining accuracy under deadline pressure.
