Position Summary
As a Clinical Support Services Agent at arenaflex, you will serve as the initial point of contact for incoming calls from patients, family members, home hospice agencies, home health providers, home infusion agencies, and medical professionals nationwide. Your core responsibility is to receive each call with warmth and professionalism, gather critical information from the caller, and accurately relay that information to the appropriate clinician on shift. While the role is non-clinical in nature, meaning you will not provide medical advice or diagnosis, your role is absolutely essential to ensuring patients and families receive timely, compassionate support during vulnerable moments.
This is a remote, work-from-home position that begins with a comprehensive two-week paid orientation and training program held at our Gilbert, Arizona training center. Training takes place Monday through Friday and equips every new hire with the technical, procedural, and emotional intelligence tools needed to succeed. Once training is complete, you will transition to a permanent remote setup where you will continue receiving support from team leads, quality coaches, and supervisors as you build confidence and grow within the organization.
Key Responsibilities
- Receive inbound calls from patients, family members, caregivers, and medical providers with empathy, professionalism, and a calm, reassuring presence.
- Accurately gather and document caller information using proprietary software systems, ensuring all details are recorded completely and correctly.
- Relay collected information promptly and precisely to the on-shift clinician, following established communication protocols.
- Navigate a computer-based workflow efficiently while maintaining conversational warmth with callers, including accurate multi-tasking between listening, typing, and system navigation.
- Remain composed and professional when speaking with callers who may be experiencing heightened emotions, grief, frustration, or distress.
- Adhere to all HIPAA-compliant patient confidentiality standards and arenaflex privacy policies at all times.
- Manage fluctuations in call volume, including high-volume periods and slower down-time intervals, while maintaining consistent quality and focus.
- Participate in ongoing coaching sessions, quality monitoring, and professional development opportunities.
- Work assigned evening, weekend, and holiday shifts as required by operational needs, with holidays compensated at time-and-a-half pay.
- Collaborate with team members and supervisors to continuously improve call handling, documentation accuracy, and the overall caller experience.
- Demonstrate a growth mindset by actively pursuing internal promotion opportunities as they become available.

Skills and Competencies for Success
Success in this role requires a thoughtful blend of technical ability and human-centered skills. Emotional intelligence is crucial, as you will regularly speak with individuals who are navigating serious medical situations, end-of-life care, or recent loss. The ability to maintain professional composure while still conveying genuine warmth and compassion is what distinguishes exceptional agents at arenaflex.
Time management and the ability to manage shifting call volumes are also essential. Some shifts will be fast-paced and demanding, while others will have natural down-time, and successful agents learn to maintain steady focus and energy across both rhythms. Adaptability is key, as healthcare protocols and caller needs can evolve quickly. Finally, a solutions-oriented mindset and a willingness to ask questions, seek feedback, and continuously improve will help you stand out and accelerate your career trajectory within the organization.
