This role involves managing complex schedules, coordinating priorities, and ensuring the smooth operation of the business, while also offering opportunities for growth in business coordination and logistics.

Responsibilities

  • Executive & Calendar Management: You’ll manage complex, high-volume calendars for senior leaders—balancing competing priorities, resolving conflicts, and ensuring time is used effectively in a fast-paced, high-demand environment
  • Business Coordination & Execution: You’ll support key business initiatives and projects by coordinating deliverables, tracking actions, and ensuring alignment across stakeholders
  • Stakeholder Partnership: You’ll serve as a key point of contact, building strong relationships across internal teams and external partners while communicating proactively and resolving issues as they arise
  • Meeting & Event Orchestration: You’ll plan and execute meetings and events—from logistics and travel coordination to agendas, materials, and follow-ups—ensuring every detail is handled seamlessly
  • Information & Reporting Support: You’ll capture, summarize, and distribute meeting notes, and help prepare materials and insights that support leadership decision-making
  • Operational Tools & Process Support: You’ll maintain key resources like SharePoint sites, org charts, phone lists, and floor plans, ensuring information is current and accessible
  • Vendor & Technology Monitoring: You’ll track the performance of vendor-supported tools, gather feedback, and contribute to recommendations that improve processes and outcomes
  • Business Continuity Coordination: You’ll act as a liaison for business continuity efforts, helping ensure readiness and alignment within the division
  • Administrative & Financial Support: You’ll manage office supplies, track expenses, and reconcile cost activities to keep operations running smoothly
  • Growth & Expanded Responsibilities: As you build expertise, you’ll have opportunities to take on additional responsibilities in logistics, coordination, and broader business operations

Skills

  • Bachelor's degree or equivalent related experience required
  • Minimum two years of experience in related business operations support role in a medium to large organization required
  • Experience and competency using the Microsoft Office suite required, including Word, Excel, PowerPoint, Access, and Visio
  • Written and verbal communication skills, with a focus on clarity, accuracy, and professionalism
  • Strong ability to anticipate needs, solve problems proactively, and operate with minimal direction
  • Self-starter mindset with a track record of being a fast learner who can quickly pick up new tools, systems, or business processes
  • Ability to manage ambiguity and thrive in a team undergoing change, transformation, or growth
  • Strong administrative and organizational skills
