Our mission is to create a seamless flow of information across every touchpoint, ensuring that our clients and internal teams have instant, reliable access to the data they need. As part of our commitment to excellence, we are expanding our data operations team and are looking for a meticulous, proactive Data Entry Clerk who thrives in a fast‑paced, collaborative environment.

Why This Role Matters

In today’s data‑driven world, the accuracy and timeliness of information are critical to operational success. As a Data Entry Clerk at arenaflex, you will be the backbone of our data management ecosystem, ensuring that every record—whether it originates from internal stakeholders, external customers, or partner dealers—is captured, validated, and stored with precision. Your work will directly influence the quality of analytics, reporting, and decision‑making across the organization.

Key Responsibilities

Core Data Entry & Verification

  • Perform high‑volume data entry tasks in the Electronic Medical Records (EMR) system, ensuring compliance with industry standards and internal data‑governance policies.
  • Prepare, organize, and review source documents—including forms, emails, faxed records, and handwritten notes—before entering them into the appropriate databases.
  • Enter new applications, credit information, and client updates with a focus on speed and accuracy.
  • Conduct daily audits of entered data, identify discrepancies, and correct errors promptly.
  • Delete inaccurate entries and re‑enter corrected information, maintaining a clean audit trail.
  • Utilize data‑entry devices and keypunching tools to streamline the input process.

Collaboration & Communication

  • Liaise with internal employees across departments (e.g., sales, finance, operations) to gather missing information and clarify data requirements.
  • Engage with external customers and dealers to verify data, resolve inconsistencies, and ensure that all required fields are completed accurately.
  • Provide timely updates to relevant parties when data issues arise, escalating critical problems to supervisors as needed.

Administrative Support & Process Improvement

  • Offer entry‑level administrative assistance to the data entry function, including filing, faxing, and document management.
  • Assist in the creation and maintenance of standard operating procedures (SOPs) for data entry workflows.
  • Train new data entry team members on arenaflex’s computer systems, data‑entry best practices, and quality‑control protocols.
  • Participate in continuous‑improvement initiatives, suggesting enhancements to data‑capture techniques and workflow efficiencies.

Essential Qualifications

  • Education: High school diploma or equivalent; associate degree in business administration, health information management, or a related field is a plus.
  • Experience: Minimum of 1–2 years of hands‑on data entry experience, preferably within an EMR or similar high‑volume environment.
  • Technical Proficiency: Demonstrated ability to work with database software, spreadsheet applications (Microsoft Excel, Google Sheets), and data‑entry hardware.
  • Accuracy: Proven track record of maintaining a 99%+ accuracy rate in data entry tasks.
  • Communication: Strong written and verbal communication skills for interacting with internal teams and external customers.
  • Organizational Skills: Ability to prioritize multiple tasks, meet tight deadlines, and manage large volumes of information without sacrificing quality.

Preferred Qualifications

  • Experience with Electronic Medical Records (EMR) platforms such as Epic, Cerner, or Meditech.
  • Familiarity with data‑validation tools and automated entry systems.
  • Certification in Medical Coding, Health Information Management, or a related discipline.
  • Previous experience training or mentoring new hires.
  • Knowledge of data‑privacy regulations (HIPAA, GDPR) and best practices for handling sensitive information.

Core Skills & Competencies

  • Attention to Detail: Meticulous focus on data integrity, with an eye for spotting inconsistencies.
  • Typing Speed: Minimum 55 words per minute with high accuracy.
  • Problem‑Solving: Ability to investigate data anomalies and propose corrective actions.
  • Team Collaboration: Comfortable working in a cross‑functional team environment, sharing knowledge, and supporting peers.
  • Adaptability: Flexibility to adjust to evolving processes, new software tools, and shifting priorities.
  • Time Management: Efficiently handle high‑volume workloads while maintaining quality standards.

  • Opportunities to earn certifications (e.g., Certified Health Data Analyst, Microsoft Office Specialist) with company‑sponsored exam fees.
  • Regular participation in internal workshops, webinars, and knowledge‑sharing sessions that keep you abreast of emerging technologies and best practices.
