Position Overview

We are seeking a Detail‑Oriented Data Entry Specialist to become an integral part of arenaflex's remote operations team. This role is designed for individuals who thrive on speed, accuracy, and clear communication. You will be responsible for entering, validating, and maintaining critical data that fuels a large‑scale migration project affecting healthcare providers, laboratories, and drug development teams. The position is initially contracted with the potential for full‑time conversion based on performance and business needs.

Key Responsibilities

  • Perform high‑volume data entry tasks with a minimum typing speed of 40 words per minute while maintaining a sub‑1% error rate.
  • Validate and cleanse incoming data sets to ensure consistency, completeness, and compliance with industry standards.
  • Collaborate with cross‑functional teams—including project managers, IT specialists, and clinical staff—to resolve data discrepancies promptly.
  • Maintain accurate records of user credentials, organizational structures, and migration logs within secure databases.
  • Provide bilingual (English/Spanish) support to end‑users, answering queries, troubleshooting entry issues, and delivering clear instructions.
  • Utilize Microsoft Word and Excel at an advanced level to generate reports, track progress, and document procedural updates.
  • Assist the help‑desk team with ticket triage when needed, leveraging prior customer‑service experience to enhance user satisfaction.
  • Adhere to strict data‑privacy protocols, ensuring all patient and proprietary information is handled in accordance with HIPAA and GDPR regulations.
  • Participate in regular virtual stand‑up meetings, providing status updates and contributing ideas for process improvements.
  • Maintain a reliable high‑speed internet connection and a dedicated workspace that meets arenaflex's security standards.

Essential Qualifications

  • High school diploma or equivalent; additional coursework in business administration, health informatics, or related fields is a plus.
  • Demonstrated ability to type at least 40 WPM with high accuracy.
  • Proficiency in Microsoft Office Suite, especially Word and Excel (including formulas, pivot tables, and data validation).
  • Excellent written and verbal communication skills in English; bilingual fluency in Spanish is highly advantageous.
  • Prior experience in a help‑desk, customer‑service, or administrative support role.
  • Strong organizational skills with the ability to manage multiple data streams simultaneously.
  • Self‑motivated, reliable, and capable of working independently within a remote environment.
  • Availability to work shifts aligned with Eastern Standard Time (e.g., 8 AM‑5 PM, 9 AM‑6 PM, 10 AM‑7 PM, or 11 AM‑8 PM).

Preferred Qualifications & Skills

  • Experience with data‑migration projects, especially within the healthcare or pharmaceutical sectors.
  • Familiarity with electronic health record (EHR) systems, laboratory information management systems (LIMS), or clinical trial data platforms.
  • Knowledge of data‑privacy regulations (HIPAA, GDPR) and best practices for secure data handling.
  • Basic understanding of database concepts (SQL, relational tables) and ability to run simple queries.
  • Certification in Microsoft Office Specialist (MOS) or similar credentials.
  • Demonstrated problem‑solving abilities and a proactive approach to identifying process inefficiencies.
