[Remote] Genetic Counseling Administrative Coordinator

CooperSurgical is a company focused on clinical life science, and they are seeking a Genetic Counseling Administrative Coordinator to support their genetic counseling team. This role involves project coordination, operational administration, and collaboration to enhance patient registration and maintain workflows across genetic counseling operations.

Responsibilities

  • Genetic counseling special projects (35%)
  • Assist with the coordination of special projects, including but not limited to CooperInsights
  • Register referred patients into the CooperInsights educational platform, with assignment to resource groups as per the test requisition form (TRF) on file from the ordering clinician
  • Monitor shared email account and other designated systems for incoming tasks related to CooperInsights
  • Assist Manager and other genetic counseling team members with requests for additional information, including data collection
  • At the direction of the Manager, successfully completes administrative tasks associated with projects of various complexities
  • Operational genetic counseling administrative duties (35%)
  • GC-waived process administrative duties
  • Completion of PGT-M cycle reviews of low complexity
  • PGT-M case notifications
  • Assists partner clinics and larger CooperSurgical organization with routine questions/issues regarding PGT cases, CooperSurgical international and operational genetic counseling processes, and general CooperSurgical processes, including enrollment, consenting, billing, and, at a high-level, laboratory testing processes (20%)
  • Respond to incoming communications from patients, clinics, and internal colleagues in a timely manner; address or defer questions as appropriate
  • Assists clients and internal CooperSurgical teams with high-level questions pertaining to laboratory operations, client services, and billing department; independently redirects inquiries to appropriate departments, as necessary
  • Escalate patient and clinic questions, concerns, or complaints to Manager and other internal stakeholders
  • Provide support for the genetic counseling administrative coordinators and genetic counselor assistants (10%)
  • Cross-trains with the genetic counseling administrative coordinators and genetic counselor assistants on their daily processes
  • Aids the genetic counseling administrative and assistant teams with clinic and patient customer service activities, as needed
  • Other duties and projects as approved by Manager and/or Department Head

Skills

  • High School Diploma required; Bachelor's Degree highly desired. Willing to consider someone pursuing a degree who demonstrates the level of customer service required in a fast-paced medical setting
  • Willingness to complete a Genetic Counseling assistant course after 6 months – 1 year (typically 1 year) of successful service
  • Ability to provide excellent customer service in electronic format as well as over the phone
  • Responds promptly to customer needs; solicits customer feedback to improve service; responds to requests for service and assistance; meets commitments
  • Ability to handle multiple tasks simultaneously
  • Exceptional attention to detail with superior verbal and written communication skills
  • Comfortable communicating with clients, doctors, patients, and staff members in a compassionate and professional manner
  • Strong problem-solving skills and able to identify and resolve problems in a timely manner; gathers and analyzes information skillfully; develops alternative solutions; works well in group problem solving situations; uses reason even when dealing with emotional topics
  • Ability to work well both independently, with little supervision, and in a team setting
  • Prior experience within a genetics department is strongly preferred, including experience and familiarity with basic interpretation of various forms of genetic testing results
  • Computer proficiency in Word, Excel, PowerPoint, and Microsoft Outlook. Familiarity with SmartSheet and SharePoint is preferred
  • Prior experience with a laboratory information system (LIS) or electronic medical records (EMR) system is desirable. Willingness to learn how to utilize new IT solutions is essential
