Position Overview

As a Medical Data Entry Clerk at arenaflex, you will play a vital role in supporting the integrity and accuracy of electronic health records (EHR) within a DoD-approved system. You will be responsible for entering, verifying, updating, and maintaining sensitive patient data, ensuring that healthcare providers have timely access to complete and accurate medical histories. Your work will directly support patient care delivery, medical readiness, and the operational efficiency of federal healthcare programs.

Key Responsibilities

The Medical Data Entry Clerk will perform a variety of essential duties, including but not limited to the following:

  • Prepare, compile, and sort documents for data entry into a DoD-approved Electronic Health Records (EHR) system.
  • Manually enter patient data into the EHR system for records whose electronic transfer did not occur, ensuring all relevant information is captured accurately.
  • Review and verify source documents for completeness and accuracy before and after data entry.
  • Identify and correct data discrepancies, errors, or inconsistencies within patient records.
  • Obtain additional information from healthcare providers, patients, or other authorized sources to complete incomplete documentation.
  • Update existing patient records, remove outdated or unnecessary files, and ensure data integrity throughout the system.
  • Ensure that all patient referrals are properly dispositioned, tracked, and documented in accordance with established protocols.
  • Manually enter data related to patient ancillary appointments, including diagnostic tests, specialty consultations, and follow-up visits.
  • Combine, rearrange, and consolidate data from multiple source documents as required to create comprehensive patient records.
  • Transcribe information from handwritten, printed, or digital source documents into prescribed electronic formats with a high degree of accuracy.
  • Coordinate professionally and courteously with healthcare staff, administrators, and other team members to resolve documentation issues and address concerns.
  • Perform thorough quality checks on completed work to ensure accuracy, compliance, and adherence to federal healthcare standards.
  • Complete all assigned Computer-Based Training (CBT) modules and maintain compliance with ongoing training requirements.
  • Perform other related duties as required or assigned by supervisors or project leadership.

Supervisory and Management Authority

This position does not include supervisory or management responsibilities. The Medical Data Entry Clerk will work as part of a collaborative team under the guidance of a project lead or supervisor.

Education and Experience Requirements

Candidates must meet the following minimum qualifications to be considered for this role:

  • A minimum of a High School Diploma or General Educational Development (GED) certificate is required.
  • At least 2 years of medical data entry work experience, including demonstrated typing proficiency, is required.
  • Prior experience in a military healthcare environment is strongly preferred but not mandatory.
  • Familiarity with DoD-approved Electronic Health Records systems is highly desirable.

  • Technical proficiency – comfort with computers, data entry software, and electronic health record platforms.
  • Discretion and integrity – the ability to handle sensitive and confidential patient information in accordance with HIPAA and federal privacy regulations.

Employment Requirements

All candidates must meet the following employment requirements:

  • Drug Screening and Background Check: Must be able to successfully pass a federal background check and pre-employment drug screening.
  • COVID-19 Vaccination Policy: arenaflex complies with all applicable federal contractor requirements. Please note that Executive Order 14042, which mandated COVID-19 vaccinations for federal contractors, is currently subject to ongoing court proceedings. As a result, arenaflex has temporarily paused enforcement of the vaccine requirement. However, if the injunction is lifted, arenaflex will resume administration of the vaccine mandate in accordance with federal guidelines.
  • Security Clearance: Applicants selected for this position will be subject to a U.S. Government security investigation and must meet eligibility requirements for access to classified information.

Work Environment

This position is primarily performed in a climate-controlled office setting, providing a comfortable and professional working environment. The role may require 50–75% travel during peak project periods, depending on operational needs. Travel arrangements and accommodations will be coordinated by arenaflex in accordance with company policies.

Compensation and Benefits

arenaflex is committed to offering competitive compensation and a comprehensive benefits package for eligible employees. For this position, the estimated starting hourly rate is $30 per hour. This is a Full-Time Temporary position.
