Why This Role Matters

In today’s fast‑paced business environment, accurate and timely data entry is the backbone of an efficient procurement operation. As a Procurement Specialist (Data Entry Clerk) at arenaflex, you will be the critical link between internal stakeholders, vendors, and our automated purchasing platforms. Your meticulous attention to detail will help ensure that every requisition, purchase order, and vendor interaction is recorded flawlessly, supporting cost‑effective decision‑making and maintaining the high standards of service our clients expect.

Position Overview

This is a full‑time, remote, entry‑level position that offers a competitive hourly rate of $19–$20. You will work under the guidance of the Corporate Manager of Purchasing, using state‑of‑the‑art procurement software, electronic data interchange (EDI) tools, and vendor portals to manage the end‑to‑end purchase lifecycle. The role is ideal for recent graduates or individuals looking to launch a career in supply chain, procurement, or administrative support.

Key Responsibilities

  • Manage assigned requisitions and source materials or services from existing vendors whenever possible, ensuring compliance with internal policies.
  • Process orders that require manual intervention, including standing orders, blanket orders, new vendor requests, and service contracts.
  • Review purchase requisitions for budget alignment and organizational policy adherence before approval.
  • Identify and select potential vendors based on availability, price, quality, and reliability, documenting the rationale for each selection.
  • Assist in evaluating new vendor requests, conducting preliminary due‑diligence checks, and recommending approval or rejection.
  • Administer purchase orders from initial request through completion, maintaining accuracy, timeliness, and proper documentation.
  • Utilize automated materials‑management systems, including EDI and vendor portals, to streamline data entry and reduce manual errors.
  • Research products or services using reputable reference sources to support informed purchasing decisions.
  • Provide regular feedback and status updates to stakeholders on outstanding requisitions, highlighting any delays or issues.
  • Maintain meticulous records of sourcing decisions, capturing price, quality, delivery timelines, and any contractual terms.
  • Safeguard confidential information related to staff, patients, and the organization, adhering to data‑privacy standards.
  • Foster effective communication and collaboration with management, staff, and vendors to continuously improve departmental efficiency.

Essential Qualifications

  • Bachelor’s degree from an accredited institution (any major is acceptable).
  • Demonstrated ability to enter data accurately and efficiently, with a strong eye for detail.
  • Basic understanding of procurement processes, supply‑chain terminology, and purchase‑order lifecycle.
  • Proficiency with Microsoft Outlook and familiarity with PeopleSoft or similar ERP systems.
  • Excellent written and verbal communication skills, enabling clear interaction with internal teams and external vendors.
  • Strong organizational skills and the ability to prioritize multiple tasks in a fast‑moving environment.
  • Commitment to maintaining confidentiality and handling sensitive information responsibly.

Preferred Qualifications & Additional Skills

  • Internship or coursework experience in supply chain management, logistics, or business administration.
  • Exposure to electronic data interchange (EDI) platforms or vendor portal systems.
  • Experience with data‑analysis tools such as Excel, including pivot tables and basic formulas.
  • Customer‑service mindset with a proactive approach to problem‑solving.
  • Ability to work independently while thriving in a collaborative, remote‑first culture.

Core Competencies for Success

  • Accuracy & Attention to Detail: Zero‑tolerance for data entry errors; each line item must be verified.
  • Time Management: Ability to meet daily and weekly processing targets without compromising quality.
  • Analytical Thinking: Evaluate vendor options and pricing structures to recommend the best value.
  • Communication: Clear, concise updates to stakeholders and courteous interactions with vendors.
  • Tech Savvy: Quick adoption of new software tools, EDI interfaces, and remote‑work platforms.
