Key Responsibilities • Provide comprehensive administrative support to the Senior Leadership Team (SLT). • Oversee administrative tasks and high-visibility projects as delegated. • Cultivate a positive office atmosphere and welcoming environment. • Organize, plan, and facilitate meetings and events, both in-person and virtually. • Coordinate logistical arrangements, develop itineraries, and manage meeting agendas. • Document meeting minutes and ensure timely follow-up on action items. • Manage SLT email communications and assist in monitoring deadlines. • Create presentations and prepare documents for meetings. • Act as a liaison for IT requirements, including equipment orders and technical support. • Maintain schedules for the SLT, coordinating appointments and screening calls. • Assist with procurement, travel approvals, and reimbursement processes. • Support various administrative functions, encompassing accounting and shipping. • Uphold filing systems and records in alignment with retention policies. • Provide backup assistance for the front desk and shipping team as necessary. • Undertake additional responsibilities as assigned. Required Skills • Proven experience as an administrative assistant or in a comparable role. • Strong familiarity with office management systems and procedures. • Proficient in the Microsoft Office Suite. • Capable of maintaining confidentiality and exercising sound discretion. • Exceptional project management, time management, and prioritization abilities. • Proficient multitasking skills with the ability to adapt to shifting priorities. • Strong judgment, problem-solving capabilities, and decisive action. • Enthusiastic about professional learning and growth. • Familiarity with contemporary office technologies and applications. • Excellent verbal and written communication skills. • Strong ability to build and maintain relationships with colleagues and vendors. • Detail-oriented with an emphasis on accuracy. • Consistent reliability and punctuality are crucial. Qualifications • Demonstrated experience in an administrative capacity. • High school diploma or equivalent is required; a college degree is preferred. • Candidates must pass a background check and drug screening. Physical Requirements • Ability to sit for prolonged periods while operating a computer. • Must be capable of occasionally lifting up to 15 pounds.
