Position Overview

arenaflex is seeking a motivated Customer Service & Billing Associate to join our Fairbanks team on a day‑shift schedule. This role sits at the intersection of client interaction and financial processing, ensuring that freight shipments are accurately billed, tracked, and supported from start to finish. You will be the trusted voice for our customers, handling inquiries via phone and email, while also managing the paperwork that keeps our billing cycle running smoothly. Key Responsibilities

Customer Interaction & Support

  • Answer inbound calls and respond to email inquiries with professionalism, empathy, and timely resolution.
  • Provide accurate freight status updates, including tracking, location, estimated delivery times, and any exceptions.
  • Research and resolve billing discrepancies, re‑rates, and freight adjustments by collaborating with internal teams and external carriers.
  • Maintain a courteous and solution‑focused demeanor, ensuring each customer feels valued and informed.

Billing & Documentation Management

  • Prepare, input, and verify assigned freight bills, ensuring all data aligns with supporting documents such as delivery receipts, manifests, and bills of lading.
  • Process paperwork related to damages, shortages, refusals, and other freight anomalies, documenting each case in the appropriate system.
  • Sort, distribute, and file paperwork within the office, guaranteeing that all records are easily accessible for audits and future reference.
  • Generate routine reports and updates for management, highlighting billing trends, outstanding invoices, and operational insights.

Clerical & Cross‑Departmental Support

  • Perform general office duties including copying, faxing, scanning, and filing to keep the workspace organized.
  • Assist coworkers and other departments (e.g., operations, finance, safety) with ad‑hoc tasks that support overall business objectives.
  • Adhere strictly to safety protocols, especially when handling hazardous materials documentation and related certifications.

Essential Qualifications

  • High School diploma or equivalent; additional education or certifications are a plus.
